Compliance & Timesheets Coordinator

The Compliance & Timesheets Coordinator is responsible for supporting the accurate and compliant processing of contractor timesheets, onboarding documentation, and workforce records. This role plays a critical part in ensuring payroll accuracy, compliance readiness, and smooth day-to-day operations within a fast-paced recruitment environment.

Working closely with Recruitment Consultants, Payroll, Finance, and Compliance teams, this role supports the business by maintaining accurate records, coordinating documentation, and ensuring key processes are followed consistently. This is a great entry-level opportunity with full training provided and a clear pathway into payroll, HR, or workforce operations roles.

This will be a casual based role for the first 6 months with a Full-time role available for the right candidate thereafter.

Key Responsibilities

Timesheets & Payroll Support
  • Process, validate, and extend contractor timesheets
  • Follow up missing, late, or incorrect timesheets
  • Resolve discrepancies and ensure accurate time data
  • Support weekly and fortnightly payroll processes
  • Maintain accurate records to support payroll accuracy
Compliance & Workforce Administration
  • Manage weekly work-rights and visa compliance checks
  • Support Purchase Order (PO) tracking and extensions
  • Ensure compliance records are current and audit ready
  • Maintain accurate contractor records across internal systems
 
Systems & Administration
  • Maintain accurate data across internal systems and spreadsheets
  • Support recruitment consultants with administrative coordination
  • Liaise with internal teams and clients as required
 
Expected Outcomes
  • Timesheets are accurate, complete, and submitted on time
  • Payroll is supported with reliable and compliant data
  • Contractor onboarding is completed efficiently and correctly
  • Compliance records are current and audit ready
  • Internal systems reflect accurate and up-to-date information
  • Administrative tasks are completed reliably and consistently
 
Essential Experience
  • Strong attention to detail and high level of accuracy
  • Well organised with strong time-management skills
  • Confident written and verbal communication skills
  • Comfortable working with systems, spreadsheets, and data
  • Ability to work independently once trained and take ownership of tasks
  • Proficient in Microsoft Office (particularly Excel and Outlook)
 
Desirable Experience
  • 1 years experience in an administration or coordination role
  • Exposure to recruitment, labour hire, payroll, or compliance environments
  • Interest in building a career in payroll, HR, or workforce operations
  • Familiarity with onboarding documentation or compliance checking
